CCIW is seeking a highly organised Office Manager to facilitate lead, and strengthen the smooth running of ministry programs at CCIW. The role will play a key part in supporting pastoral staff, managing office operations, and contributing to the effective administration of our church’s ministry programs.
Key Responsibilities
- Ministry administration: Support pastoral staff with administrative tasks for weekly services, baptisms, funerals, and weddings, including managing communications, bookings, registers, and payments.
- Venue Management: Oversee venue bookings for across our church facilities, maintain the calendar, and ensure smooth coordination with external hirers, tracking usage and billing.
- First point of contact: Greet and assist visitors, church members, clients, and suppliers both in person and over the phone and email. Provide excellent customer service and ensure a welcoming atmosphere.
- Columbarium (Memorial Garden) Management: Oversee the management of the Memorial Garden, coordinating ash interments, working with families to complete the necessary paperwork, and ensuring that all records are up-to-date.
- Property Management: Take responsibility for routine and regular maintenance across the church sites, coordinating necessary repairs, managing contractors, and ensuring the sites are in good working order.
- Office Management: Maintain and ensure the effective use of office equipment, manage daily mail and deliveries, and maintain a clean, safe, and stocked reception area. Troubleshoot IT issues and assist staff with technology as needed.
- Process Improvement: Regularly review and suggest improvements to office and property management procedures to ensure maximum efficiency in day-to-day operations.
