Position Description

This is a 2 day per week job share role reporting to the Executive Pastor and supporting a team of 7 staff ministering in the areas of Magnification, Mission, Membership, Maturity and Ministry as well as Children and Youth.

The Ministry Executive will be an effective multi-tasker and will: 

  • demonstrate a broad range of skills from managing data to planning large scale events 
  • have excellent Microsoft Word, Excel, Publisher, Powerpoint and general computing technical skills. Past experience in managing databases and websites is preferred but not essential
  • have excellent analytical skills

Responsibilities include:

Using church management software to: 

  • Update and manage data 
  • Ensure data quality 
  • Produce both regular and ad hoc reporting 
  • Manage the church calendar 

Managing the Church’s Website 

  • Create and edit web content on a web-based platform
  • Proactively manage information to be displayed on the site 
  • Work with the Executive Pastor to determine design and content requirements 

Supporting Ministry tasks and projects 

  • Coordinate with the other Ministry Executive in relation to all ongoing work
  • Provide support in executing plans and programs (eg rostering, preparing forms and templates for kids and youth ministry, gathering and updating data, proof-reading, editing and printing written materials, group communications)
  • Manage the Safe Ministry data requirements as well as scheduling Safe Ministry training courses and reporting on Safe Ministry compliance 
  • Manage the compliance data, verification, recording and reporting of NSW Working with Children’s checks 
  • Maintain and manage a database in association with Youthworks for the Special Religious Education program (Scripture classes) 
  • Produce and print regular updates and reports for church wardens and the Parish Council 
  • Attend staff meetings, minute discussions and record actions required

Reporting and analysis

  • Use Excel to analyse data and generate reports and graphs
  • Identify new ways to streamline processes and improve database efficiency
  • Develop methods for data processing that allow data to be extracted

Event and Property Management 

  • Manage the event requirements and paperwork requirements for a variety of church related events (including Funerals, Weddings, Leadership Breakfasts, Safe Ministry training events, Sunday events, Youth Camps) 
  • Manage the internal approval and contractual arrangements for licensing the church property for regular and events-based hires on behalf of the church wardens
