We are seeking a highly organized and proactive individual to join our team as the Assistant Ministry Administrator.

Working closely with the Head of Ministry Administration, this key role will provide comprehensive administrative support across a variety of ministries and church activities, including children’s and youth ministries, events, communications, financial management, and CityAlight operations.

The successful candidate will be responsible for ensuring smooth and effective administration across these areas, contributing to the overall efficiency of ministry programs and events at St Paul’s Church.

This is a 4 day a week part-time position based at St Paul’s Anglican Church in Castle Hill. Occasional evening and weekend work may be required to support events and ministry activities. Competitive salary package based on experience. 

Key Responsibilities: 

  • Provide administrative support for ministry events, including Easter Camp (children’s camp) and ImpaKCt (youth camp), from registration to post-event communications.
  • Communicate key information to parents and guardians regarding ministry activities, events, and updates.
  • Handle inquiries from parents/guardians and participants regarding church ministries and activities, ensuring prompt and clear responses. 
  • Process payments and manage financial documentation for ministry events, ensuring accurate tracking and record-keeping.
  • Maintain and update the church database for ministry groups, event registrations, congregant members, and service participants, ensuring data integrity and accuracy.
  • Manage new profiles, program registrations, forms, and workflows in the database.  
  • Provide administrative support for church events such as baptisms, weddings, funerals, and other significant ministry activities, ensuring all operational tasks are handled efficiently.
  • Manage the general email inboxes, ensuring all inquiries are directed and responded to in a timely manner.
  • Assist with organising and coordinating volunteer teams for ministry and church events.
  • Handle music copyright inquiries from individuals and churches, providing information regarding licensing and usage rights for CityAlight’s music catalog. 
  • Assist with the coordination and management of the church’s calendar, including scheduling events, inputting event information, coordinating team travel, and ministry activities.
  • Administer the CityAlight online store, including managing product listings, processing orders, and handling customer inquiries related to the store. 

Key Requirements: 

  • Strong organisational skills and ability to manage multiple tasks and priorities efficiently.
  • Excellent verbal and written communication skills, with the ability to engage professionally with staff, parents, volunteers, and external contacts.
  • Proficiency in Microsoft Office Suite, database management, and event management tools.
  • Previous administrative experience in a ministry or church setting is preferred but not essential.
  • A detail-oriented and proactive approach to problem-solving, with the ability to work independently and as part of a team.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and a genuine passion for supporting ministry work and church operations.
  • Flexibility to work occasional evenings or weekends as required to support ministry events and activities.
